Automation service

Invoice & Accounting Automation

Financial document processing that extracts invoice data from PDFs, validates it, catches duplicates before they cost you money, and syncs with your accounting software.

Every invoice that arrives as a PDF triggers the same ritual: open it, read it, retype the numbers into the accounting system, file it, chase approval. Multiply that by hundreds of invoices a month and you get slow month-end closes, typos in amounts and tax data — and occasionally the same invoice paid twice.

Our Invoice & Accounting Automation takes over the document grind. Invoices are collected automatically, data is extracted from PDFs (with OCR for scans), every record is validated against your rules, duplicates are caught before they are paid, and clean entries sync to QuickBooks or Xero. Exceptions are queued for a human — never silently posted.

Investment: $500–$2,500 per project

How it works

How this service is delivered

Five stages take you from manual process to running system, inside our standard six-step engagement process — discovery, fixed proposal, build, testing, documented handover and optional maintenance.

1

Document flow mapping

We map where invoices arrive, who approves them and how they are booked today.

2

Extraction setup

PDF parsing and OCR are configured for your suppliers’ typical layouts — amounts, dates, tax IDs and line items.

3

Validation rules

Totals, tax numbers, purchase-order matching and bank-detail checks are encoded as hard rules.

4

Duplicate and anomaly checks

Same supplier, amount and date combinations are flagged before payment, not after.

5

Accounting sync

Approved invoices flow into QuickBooks or Xero with a full audit trail and a payment-reminder schedule.

FAQ

Questions about this service

What invoice formats can it handle?

Digital PDFs are extracted directly; scanned paper invoices go through OCR. Mixed inboxes — email attachments, shared drives, supplier portals — can all feed the same pipeline.

Which accounting software do you support?

QuickBooks and Xero are the most common. Other systems with an API, or even structured CSV import, can be connected as well.

What happens with a suspicious invoice?

It is stopped in an approval queue with the reason highlighted — mismatched total, unknown supplier, possible duplicate. Nothing questionable is ever auto-posted.

Can it chase late payments too?

Yes. Payment reminders for your outgoing invoices can be scheduled automatically, escalating in tone according to your policy.
